The following will provide a short introduction to some of the new functionalities in Resource Central. Major development has been done to the Visitor functionality of Resource Central in this Service Release. In the following sections, we will provide you with a high-level view of the new features.
More information can be found in the different user guides for Resource Central.
The Visit
When registering visitors in My Meetings, in the order form or under an existing reservation in the Visitor module, we have included the possibility to add more visitors at once in order to make the registration of multiple visitors faster for the end user. The visit details will be the same for all the visitors included in the visit.
Furthermore, it is now possible to create a recurring visit when inviting visitors. The visitor will be listed in the visitor overview for each day and can be checked in appropriately. The expected arrival and departure times can be adjusted per day, e.g., if the visitor is leaving earlier on Friday.
Authorization of visitors
We have developed and implemented a new Visitor Authorization feature. This means that you can configure Authorizers to authorize visitors’ visits at specific locations and zones. (Zones are explained later in this document).
You can setup a mix of authorization processes so that only visitors going into areas with high security or areas with limited capacity will require authorization. Visitors going into your more ‘open’ areas will not require authorization.
Authorizers will be notified by email, when visitors require authorization, and they can see and manage the authorization in the visitor overview. The role of the Authorizer can also be configured as a receptionist and thereby be able to check visitors in and out, print badges or preform any other functions in the visitor module.
Organizers can follow the Authorization status of their visitors in their ‘My visitors’ under ‘My Meetings’ in Outlook.
Authorization on locations is setup under “Location properties” and zones are enabled under Designer/Visitor.
Configurable columns in visitor overview
The columns in the visitor overview can now be configured. This means the users can setup their view individually, deciding which columns should be shown and in which order.
Visitor configuration
Customizable fields
Field type
It is now possible to apply a field type to the customizable fields. This will make the fields appear as a text box or a check box when registering a new visitor.
Basic data
You can decide which data should be stored on the visitors to be reused if the visitor is registered again. This will make inviting visitors faster and give more consistency in the visitor data. This setting is also available on the standard visitor fields.
Visitor types
You can now configure your own visitor types. The visitor types can be configured per location, so you can have different visitor types in different locations. The visitor type can be applied to the visitor by the organizer or by the reception.
Other new settings
There is a number of other new settings under the visitor configuration.
Zones
This is where you enable the use of zones. When enabled, a new zones icon will be available under Location.
Hosts
You can now apply a host to your visitors. This works like the assistant organizer on orders, so you can invite visitors and have another colleague being the host on the day of the visit. If you are applied as a host, you can see it in your ‘My visitors’ under ‘My Meetings’ in Outlook.
Identification
The identification section in visitor details can now be enabled or disabled.
Time
The expected arrival and departure times can be set to blank when creating a new visitor. This will request the organizers to enter a value.
Own visitors
This setting will prohibit the Authorizer from authorizing their own visitors.
Recurring visit
You can set the maximum number of allowed occurrences in a recurring visit.
Escorted
Visitors can be set up to be escorted during their visit. This is where you enable it and setup the default setting.
Visitor badge per location
It is now possible to configure a badge to be used as default on one or more locations when creating new visitors in the Visitor Module or for badge print in a Kiosk.
Support for SQL 2022
SQL Server 2022 is now supported in Resource Central.
